Privacy Policy

Dr Allen GP — Dr Robert Allen, General Practitioner ABN 42 531 360 958 · Ahpra registration MED 0002137140

Effective: 29/07/2026

1. The short version

I consult as an independent general practitioner at two practices. Your medical record is created and held in the clinical software of the practice where you are seen — not by me separately, and not by this website.

I deliberately hold as little personal information as possible outside those systems. This policy explains the little that I do hold, and where to go for everything else.

I am bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. Your medical record

Every consultation with me — including ADHD clinic appointments — is recorded in the clinical software of the practice where it took place:

Key Largo Medical Centre, 1/61 Ocean Keys Blvd, Clarkson WA 6030 — (08) 6401 7444

St John Joondalup, 21 Joondalup Drive, Edgewater WA 6027 — (08) 9400 7000

Each practice has its own privacy policy governing how your record is stored, secured, retained and released. To request a copy of your record, or to correct something in it, contact the practice directly. They hold it, their staff can process it, and going through me only adds a step. This applies to consultation notes, results, referrals, correspondence, questionnaires and assessment reports.

3. What I hold directly

Very little, by design:

  • Referral and booking correspondence for the ADHD clinic — name, date of birth, contact details, the referring GP's details, and the reason for referral. This is filed into the practice's clinical software and removed from my own correspondence as soon as it has been actioned.

  • Fee and invoicing records — name, date, service and amount, kept to meet tax and accounting obligations.

I do not maintain a separate patient database, a separate clinical file, or a mailing list.

Where information is needed to register you as a patient, it is collected by the practice, into the practice's system, by practice staff — not by me.

4. Where your information goes

Information from your consultations may be disclosed, as you would expect of any GP consultation:

  • To your usual GP, who receives correspondence about assessments and treatment

  • To other treating practitioners — specialists, allied health, pathology and imaging

  • To Services Australia (Medicare) and the Department of Veterans' Affairs for benefit claims

  • To employers and insurers, for workers compensation and motor vehicle injury claims, to the extent of the consent recorded on the relevant certificate or claim form

  • To regulators, courts and tribunals where compelled by law

Schedule 8 medicines. Prescriptions for monitored medicines, including ADHD stimulant medication, are recorded in ScriptCheckWA under the Medicines and Poisons Act 2014 (WA) and are visible to other authorised prescribers and pharmacists involved in your care. This is a legal requirement of prescribing and is not optional.

I do not sell personal information and do not use it for marketing.

5. Collateral history for ADHD assessment

Adult ADHD assessment requires a collateral history, so you will be asked to nominate someone who knows you well to complete a short informant questionnaire.

  • The completed questionnaire is returned to the practice and forms part of your record.

  • The nominated person's own details are also recorded, and they may contact the practice to access or correct them.

  • Their responses are not confidential from you. If you request access to your record, the questionnaire may be included.

Please make sure the person you nominate understands this before they complete it.

6. AI clinical documentation

I use Heidi, an AI documentation assistant, to help produce consultation notes. It transcribes the consultation and generates a draft note, which I review and correct before it enters your record.

Your consent is sought before it is used, and you may decline at any time without any effect on your care. Recordings are not retained as part of your medical record. The final note is my responsibility, not the software's.

If you would prefer I not use it, say so at the start of the consultation.

7. This website

This website is hosted on Squarespace, which sets cookies necessary for the site to function and collects standard technical information such as IP address, browser type and pages viewed. It does not collect health information.

Please do not use this website, email or social media to send clinical information, report symptoms, request results, or raise anything urgent. These channels are not monitored continuously and are not a safe way to communicate about your health. Book an appointment or phone the practice instead.

If you need urgent help, call 000. For mental health crisis support, call Lifeline on 13 11 14.

8. Access, correction and complaints

For anything in your medical record — access, correction, or a privacy concern about how it has been handled — contact the practice where you were seen. They are the fastest and most direct route.

For the correspondence I hold directly, or for a concern about my own conduct, contact me at [INSERT EMAIL]. I will acknowledge within 7 days and respond within 30 days.

If you are not satisfied with the response, you can contact:
